Virtual event and communications for EIT Urban Mobility Summit

In September 2020 EIT Urban Mobility engaged The Unknown Creative to organise all aspects of their first annual summit on 7-9 December 2020.

Our client

EIT Urban Mobility is an initiative of the European Institute of Innovation and Technology (EIT). The organisation works to encourage positive changes in the way people move around cities in order to make them more liveable spaces.

The brief

Our objective was to design an immersive, interactive 3-day online experience to bring together partners, stakeholders, policymakers, scientific experts and citizens to learn about the impact of EIT Urban Mobility programmes. This being amidst the uncertainty of the Covid-19 pandemic, and in a short 12 week timescale.

We worked closely with the dynamic EITUM communications team and pulled out all the stops to gain a deep understanding of how to ‘go virtual’ with success.

Scope of work

Communications included the design of a branded badge and social campaign. We rolled out a countdown of quirky urban mobility-related messages including the overarching call to action: ‘jump on board‘. We also designed an informative event website, registration forms and the platform itself. Materials including exhibitors’ brochure, speaker how-to, press pack etc.

Upskilling

Although we have longstanding experience of physical events, diversification was required for some of our core team members; learning how to programme, design and run a digital event. Key tasks included speaker management, AV, liaison with Master of Ceremonies Jean Paul Judson and running a ‘help desk’. We rolled out social messages during transmission informing on speakers and topics and encouraging more attendees to join.

The Summit also included the annual Innovacity Awards ceremony and a private ‘invitation only’ members’ event on day three.

Measurables

The first EIT Urban Mobility Virtual Summit was deemed a huge success, attracting over 900 attendees from 52 countries, tuning in to be informed on urban mobility topics from 80 speakers in high level debates and interactive sessions.

The final social message being ‘it’s a wrap!’ Then it was Merry Christmas to all.
